Getting started

From day one until the system becomes your source of truth. The order matters — each step builds on the one before it.

  1. Connect your store

Pick your platform and enter the API keys, or paste the webhook into your custom store. Place a test order and confirm it appears under "Orders".

  2. Migrate products and stock

Pull directly from your platform or import with the Excel template. Important: set each product cost correctly from the start — every profit report depends on it.

  3. Set up carriers and zones

Add each carrier with its credentials and assign governorates. The rule: one zone to one carrier — overlap makes pricing wrong.

  4. Create your team accounts

Each employee gets a role: confirmation · picking · shipping · finance · supervisor. The role decides what they see and do.

  5. Run one full cycle

One order end to end: confirm → pick → waybill → hand to carrier → delivered → reconcile. This exposes anything missing before you move all your work over.

  6. Reconcile weekly

Reconcile the moment a carrier statement lands. A one-week-old gap can be traced; a one-month-old gap is lost.

  7. Then accounting

Once operations are stable, switch on accounting. Entries generate from your actual movements, so you never key in journal entries by hand.

Tips

Things that save you pain

Install the system on your phone

Open the system in your phone browser and choose "Add to home screen" — it runs as an app with an icon and push notifications, no app store needed. Especially useful for warehouse and delivery staff.

Let the reports come to you

Enable Telegram reports: a daily digest of yesterday's orders and sales, a monthly P&L on the first of each month, plus carrier alerts when a status changes.

Connect your ad spend

Add your Meta token and ad account once, and the system pulls daily spend automatically every night into the profit calculation — so the profit you see is after ads, not before.

Lock the month when it closes

After you finish a month's reconciliation and issue its statements, lock it. That stops any retroactive edit from changing numbers you have already reported.

The full guide is inside the system

Every module in the dashboard carries its own guide, and you have "Ordi" — an assistant that answers questions about the system, takes you to the right screen, and can look up an order, a stock balance or a collection status in plain conversation.
